Internal and external communication

The News and Media Relations unit provides a range of internal and external communication services for the WSU system to promote the university’s brand and fulfill our mission of granting land to provide public information and disseminate information. knowledge.

Proactive media relations

The unit works with colleges, other marketing and communications units, government departments, and researchers to write and present timely information to the media that highlights the regional, national and global impact of the WSU. Various communication tools and platforms are available.

Submit information

University-related news of interest to faculty, staff, students and the WSU community in general can be submitted for review to the WSU News Editorial Board at [email protected] from. Traditional press releases

The News Unit produces, edits and distributes newsworthy news releases to targeted media on topics that appeal to a large external audience. The unit follows best practices for press releases, which should be brief, ideally 600 words or less, and written in AP style with most of the relevant information at the top of the release. The unit provides, manages and oversees the use of press release distribution tools for the university system, including the official WSU EurekAlert account and Meltwater media distribution lists and tracking software.

The following will be considered for distribution as an official press release to the media:

  • Research results that advance knowledge, demonstrate world-class quality and innovation, and attract a general audience, showing impact and highlighting new or surprising results. Punctuality is the key. Ideally, press release distribution should coincide with the date of publication in a peer-reviewed scientific journal, although consideration is given to research done within three months of the journal’s publication.
  • Knowledge application that addresses social and global issues.
  • Major Grants, Prizes and Partnerships (grants over $ 1 million and prizes that support the WSU strategic plan and other academic initiatives).
  • Distinctions and verifiable innovations that elevate prestige (first, best, only).
  • Economic development activity that shows WSU to be a critical driver of competitiveness, quality of life and prosperity in Washington State and beyond.
  • Top Rankings – News value is determined by year-over-year performance.
  • High-profile and priority political developments, worthy academic statements and government decisions.
  • A small number of events carefully selected based on news value and WSU’s strategic alignment.

Submit a press release or media advisory

The central news and media relations team is responsible for preparing and distributing press releases that promote the university’s achievements, support the WSU brand and raise the profile of the university. Press releases should be of interest to the general public outside of the WSU community.

  • The central press team serves as editor-in-chief for all press releases submitted for media distribution.
  • The central press team distributes press releases to the media; work with unit communicators to determine distribution.
  • The central press team will provide advice on whether the information is best suited as an external press release or a WSU insider story.
  • All email correspondence for press releases should go through the @ wsunews @ wsu.edu email account.
  • The WSU press team should receive a copy at least 3 to 5 working days before the publication or desired distribution date to allow for editing and scheduling.

WSU Insider

News and information of interest to faculty, staff and the WSU community. Updated every day of the week. Online hub with a daily push email. Stories should be between 400 and 600 words or less in length. In addition to topics that are also suitable for press releases, here are some examples of common themes and topics suitable for Insider:

High impact operational initiatives, developments and announcements

  • Legislative and Congressional Agendas; Strategic plan and lead to 25 updates; fundraising campaigns organized
  • Efforts that impact the organization and culture of WSU
  • Campus operations affecting access or use (parking, snow removal, emergency conditions, notice of major events, etc.)
  • Main HR efforts such as open enrollment; process changes, updates, etc. affecting large groups of employees; mandatory or highly recommended training of teachers and staff across the system
  • STI process updates, notices and changes affecting large-scale use

Organizational changes demonstrating growth or advancement of the mission

  • Development of new schools, centers, programs, including general department, realignments of units.
  • Promotions of executives and senior executives, hiring or changes in responsibilities that would be important to the WSU community
  • In-house programs designed to facilitate educational innovation, intellectual property research or commercialization efforts, opportunities to expand faculty and staff skills

Awards, achievements and achievements

  • Share the achievements of students, faculty and staff, including major scholarships, regional and national recognition, community development

Events with high engagement potential

  • Start, Convocation, Welcome Week, Safety Fair, Showcase, etc.
  • Notable conferences, gatherings in support of WSU initiatives

  • Interesting accomplishments or experiences involving WSU students, faculty and staff that serve to highlight system priorities and the reputation of the university within the communities it serves

Submit an insider story

The central news team is responsible for writing insider articles that promote academic achievement, support the WSU brand and raise the profile of the university. The insider understands internal and external communications. The team also works with other communicators across the WSU system to include a wide range of content of interest to the WSU community.

The Central News Team serves as the editor-in-chief for all insider stories.

The central press team owns the editorial calendar.

The central press team determines the layout of the daily publication as well as the content and order of the daily push email.

All email correspondence for Insider Stories must go through the WSU News email account, but feel free to copy members of the press team when submitting content and ideas from contents.

The WSU press team should receive a copy at least 3-5 business days prior to publication. If there is urgent content, the submitter can work with the central press team to determine the publication date.


WSU Announcements

These are highly transactional general academic interest notices. They are self-uploaded by the units that wrote the reviews and the units that submit them are supposed to copy the changes and ensure the facts are correct. Examples include:

  • Training opportunities and targeted events
  • Campus and public specific sales, fundraisers, events
  • Notice of shared leave
  • Notice of retirement, including invitations to farewell meetings
  • Memorial notices for current and former employees with link to published obituaries
  • Note: The central news team may also elevate general interest announcements on the Insider homepage (especially when they are system-wide or support key strategic initiatives of the university).

Submit an ad

The factual accuracy of the information contained in the submissions is the responsibility of those submitting the information. Academic Marketing and Communications only verifies compliance with state laws and ethical guidelines relating to the use of WSU communications resources. Submissions are generally not edited for grammar, spelling, or style, although the News and Media Relations Unit may periodically provide basic edits on submissions considered for use by WSU Insider.

  • Guidelines on what makes an ad relevant are posted on the ad submission website.
  • The central press team can also elevate announcements on the Insider homepage, especially when they are system-wide or support key priorities and strategic initiatives of the university.

WSU Events Calendar

Self-downloaded events open to general participation throughout the WSU system. The calendar has an automatic syndication feature that displays events on the WSU Insider and WSU system home pages. Only those who have a wsu.edu email address can download.

  • It is strongly recommended that you submit events at least 10 days in advance to allow for review and publication, which can sometimes take a few days when factoring in holidays and peak periods.
  • Note: The central news team may also elevate announcements on the Insider homepage (especially when they have system-wide appeal or support key university strategic initiatives).

Submit an event

Events must be submitted through the required online form. The central News team only provides a review of fatal flaws before uploading to the schedule. The author of the submission is responsible for ensuring the accuracy of all information.
